CareStack is excited to announce a suite of new features and enhancements in 5.38, designed to improve workflow efficiency, simplify processes, and offer a more intuitive, user-friendly experience.
These updates cover essential areas such as Front-Office, Clinical, Revenue Cycle Management, Reporting & Analytics, CS Pay, and Patient Engagement. Among the standout improvements, we have launched the Text to Pay Control Center for effortless payment status tracking and improved the management of Transaction Charges to simplify your daily operations.
Significant upgrades to Operational Reports, Insurance Eligibility, and Medical Alerts have been made to drive practices’ performance and improve overall outcomes. Plus, with the addition of the all-new, Reputation Management, Patient Correspondence, Treatment Plan Board, Task Manager, and AI Scribe; get ready to transform patient care and maximize efficiency.

1. Appointments
Quicklinks: Access two newly introduced quick links to open Appointment Details and View All Appointments of a patient with a simple right-click on the appointment slot.
2. Appointments Slider
Improved clarity and size of the patient profile details in the appointment slider and hover preview, with the preferred name included in both.
Adding notes to an appointment is now easier with fewer clicks; simply enter the note in the field and click +Add Note to save.
Ability to quickly add the patient’s contact information such as mobile, and email in a single pop-up.
Pending Action Items are displayed in an accordion, expanded by default, with a red indicator showing the count of pending items.
3. Scheduler
The lines to segment the operatories in the Scheduler now appear in a grey shade with thicker and darker borders for better visibility in Day and Week views.
In Compact View, slot height has been reduced to display more information at a glance without impacting readability. Patient names are in bold with improved flag designs and appointments/block slot details appear highlighted on hover.
The colors for production types have been toned down for a comfortable viewing experience.
Ability to add a block slot using the quick access button on the operatory tile.
Enhanced the font size in block slots making it easier to read notes directly from the Scheduler.
As you hover over the patient's appointments list, the color will change to a darker grey, offering a visual cue for better interaction.
Use the Setup button to easily configure different areas of the scheduler.
4. Reschedule Queue
Utilize the newly added filters to track the Reason and Status of the rescheduled appointments from the queue.
1. Treatment Plan Board
The newly launched Treatment Plan Board consolidates all treatment and alternative plans for your patients in one place. Let’s walk you through the key benefits.
- Add Notes for a treatment plan.
- Narrow down the preferred treatment plans using Quick Filters and Codes.
- Schedule appointments directly after choosing your desired treatment plan.
- Accept or Reject a treatment plan or an alternative treatment plan.
2. AI Scribe
Easily capture care notes with AI Scribe, a transcription tool powered by Heidi that generates voice-based notes and organizes them into relevant categories. This feature will be enabled for practices only upon request.
- Utilize this integration to record and fill care note responses using your voice.
3. Treatment Planner
When creating a new treatment plan, you can specify if it is an Alternative Plan to another primary treatment plan.
1. Payment Plan
You can view the Failure Reasons by hovering over any failed payment transactions on a payment plan with auto-debit enabled.
2. Transaction Charges / Payment Receipt
The new enhancement ensures that transaction charges are automatically posted to the relevant codes for accurate accounting. Users can clear out these unadjusted transaction charges, providing greater control over their financial records.
In the receipt details, we have enhanced the values as Total Payment Amount, Deposit Amount, and Transaction Charges, providing a more comprehensive view of each Third-Party Payment.
The receipt parameters have been restructured to engage the user on all data points such as Payment Amount & Unapplied Credits for payment types: Cash, Check, Credit/Debit Card, Direct Transfer, Income Reduction, and Special Credit.
The updated structure for Patient Payment Receipts provides a clearer overview of essential information. The top section displays receipt details such as the receipt ID, source, and reference number. The middle section highlights the receipt amount along with any unapplied credits, while the final section contains important receipt information, including location, payment type, and payment date.
3. Statements
- Ability to exclude adjustments on statements which will be reflected on the balance due.
- Print codes that were charged with a zero dollar amount.
- Leverage Advanced Templates to create highly customizable statements, featuring options such as showcasing branding with an account or custom logo, inclusion of return and remittance addresses, and the ability to preview both sides of the statements. Use this feature to deliver more informative and standardized statements to patients.
4. Text to Pay
Improve your patient experience by providing flexible payment options, customizing payment communications to fit your practice’s needs, and easily tracking payment requests for more efficient financial management.

- Allow patients to make partial payments via Text to Pay links.
- View the total balance due across locations before sending payment requests.

5. External Payments (Practice Settings)
We have simplified the settings for external payments to a simple yes/no option. Now, you can easily configure where to tag external payments: central billing location, patient’s default location, or payment location

- The Insurance Eligibility list has been enhanced for better usability and additional data points.
- The Eligibility Response interface now provides more detailed data points with better accuracy.
- Automatically schedule electronic eligibility checks for upcoming appointments.

7. CS Attachments
Introducing CS Attachments: a state-of-the-art, native attachment solution seamlessly built into CareStack and powered by DentalXChange. Designed to streamline your workflow, it replaces NEA Attachments with enhanced functionality.
- Send attachments directly within the platform.
- Simplify the management of dental claim attachments for electronic submissions.
- Capture and include screenshots of electronic attachments.
- Fetch attachments directly from integrated cloud imaging software.
1. Production and Collection Report
Practices can utilize the Production and Collection Report to monitor both monthly and yearly performance in production and collections as well as analyze key factors affecting their financial health.
2. Trend Analysis
Ability to compare metrics across multiple locations or providers, with the total value being the aggregate of the drilled-down values. A tooltip has been introduced to inform users of the ability to drill down, enabling them to navigate data more effectively.
3. Opportunity Miner
Implant Tracking Filters in Opportunity Miner: Opportunity Miner now includes powerful new filters, allowing you to search for patients based on Implant details like Treatment Provider, Referral Provider, Implant Site, or specific implant information such as Supplier Name, Lot Number, and Implant Type. These enhancements make identifying opportunities among implant patients easier and streamline patient outreach for implant-related needs, including recalls or follow-ups.
Enhanced Referral Source Filters and Columns in Opportunity Miner: Opportunity Miner now features new demographic filters to streamline patient searches. The Primary Referral Source and Primary Referral Sub-Category filters enable users to refine results by main referral sources and their related sub-categories. Additionally, six new columns under the Referral category have been introduced, allowing users to view and analyze referral information with ease. These updates further enable you to more efficiently identify production and collection opportunities associated with referral sources.
Introducing the ‘Between’ Condition for Date Range Filters: Users can now apply date ranges more effectively using the new ‘Between’ condition. This update is available for filters such as Insurance Termination Date, Upcoming Recall Due, Statement Sent, and Patient Payment Date.
4. Care Notes Tracker Report
The Missed Patients option in the Care Notes Tracker report allows you to set a date range and apply filters to easily identify patients who received treatment without associated care notes, enhancing documentation accuracy and improving patient care management.
5. Utilization Report
A new category has been introduced, named the CDT Category. This category is specifically designed to correspond with the procedure codes for tasks that have been completed.
6. Operational Reports
The Date Range for Lab Cases, Deposit Slip, Revenue Reconciliation, Pending Eligibility, and Insurance Pending Procedures has been extended by one year.
Practices can now download reports in CSV file format.
Large files will now automatically be downloaded to your system once processed, eliminating the need to manually visit the Scheduled Downloads page.
Hover over the column titles in the generated report to quickly view descriptions and better understand the context of each column.
The enhanced search bar allows users to search by competitor report names to find all related reports, making it easier for practices that transitioned from other software to CareStack.
7. Front Office Dashboard Planner
In the Front Office Dashboard Planner, the calendar view displays information on whether the goal is met, along with other relevant details about each day’s activities. An update to this feature now allows users to also see data from the past date.

Presenting the all-new Reputation Management module to track and enhance how patients perceive your practice as a brand and ultimately boost the overall reputation of your organization.
Monitor Reviews: Easily request and monitor patient reviews, with customizable, templated responses tailored to different star ratings.
Performance Insights: Access data on different metrics that provide information on how your online reputation has changed over time and compare your review ratings across multiple locations.
Automated Review Requests: Create an Automated Review Request setup with custom trigger parameters to automatically gather reviews from a patient.
Portray the Brand: Enhance the reach of your practice’s reputation and popularity by embedding Web Widgets that share targeted platform customer feedback.
Weekly Notifications: Receive a Weekly Review Summary through email to keep track of average review ratings and notice significant changes in your reputation score to stay tuned to public perception.
2. Patient Correspondence
Introducing Patient Correspondence, a centralized hub for efficiently tracking and managing all patient communication - emails, texts, calls, and documents.
Utilize the Communication Hub to communicate and track emails, text messages, and calls of all patients across all locations of your practice.
- Monitor all correspondence of a single patient through Patient Inbox.
- Ability to map an email address to one or more locations.
- View email, text, and calls of existing patients and unassigned patients separately.
3. Add Message
The Add Message pop-up is now fully integrated across all patient correspondence touchpoints to provide a consistent experience. It includes options to choose from email, text editor including the ability to see the phone number and the patient to which the message has been sent.
4. Medical Alerts: Categorization
Introducing the Categorization feature that allows you to group multiple conditions or allergies and reposition them in the preferred order. You can easily add, customize, and rearrange categories as intended to appear in the Medical History Form.
5. Current Medications
- Users can add medications from the medical history form.
6. Email and Text Templates
Create patient-specific or appointment-specific Template Types for email and text to align with their respective workflows. Quick link options are restricted based on the selected template type, ensuring relevant content for each use case.
7. Medical History Forms
Set Medical Alerts information to be displayed throughout the system once a patient has provided their signature. When enabled, it locks the medical history form preventing any updation or deletion, and if disabled users can edit the medical history form even after the patient provides the signature.
Update the assigned provider on the medical history form to ensure it reflects the correct provider in the 'Provider Signature Pending' section.
The updated configuration to ‘carry over existing data to new form’, when enabled, will automatically carry over all the existing data, including previous medical history form data, ensuring that no prior medical history information of a patient is lost.
Enhanced the visual appeal of the medical history form by increasing the screen area to capture more medical history information without scrolling.
Marking a condition or allergy as ‘Yes’ in a medical history form will now highlight it in red, enabling users to easily spot the patient’s previous or current conditions or allergies.
