The Ortho Case centralizes all clinical, imaging, billing, and treatment tracking information for an orthodontic case, all in one place. This guide walks you through each section, helping you efficiently manage the case throughout its lifecycle.
- Select the patient using the Global Search Bar.
- Hover over Ortho > select Ortho Case.
The header displays key case information:
- Case Name: Displays the selected case (e.g., Aligners Adult).
- Case Status: Indicates the current status of the case (e.g., In Progress).
- Edit Case: Modify the case details.
Navigation Tabs
The following tabs are available within the Ortho Case:
- Overview
- Billing
- Images
- Appointments
- Ortho Chart
- Care Notes
- Lab Cases
- Treatment Card
- Documents
- Pre-Authorizations
- Claims
- Select the appropriate tab to manage specific case-related workflows.
Overview Tab
The Overview tab provides a consolidated view of the orthodontic case, including case details, conditions, objectives, notes, images, and treatment tracking.
- Conditions: Displays diagnosed conditions associated with the case.
Add or Update Conditions
- Click Add/Update icon.
- Check the desired options.
- Click Apply.
Note: The Conditions are configured under System Menu > Practice Settings > Ortho Cases > Ortho Conditions.
- Objectives: Lists the treatment objectives defined for the case.
Add an Objective
- Click +Add Objective.
- Enter the treatment objective.
- Click the Tick icon to save.
- You can select the boxes once the objective has been completed.
- Notes and Documents: This section displays case-specific notes and uploaded documents.

Images: Displays the orthodontic image series linked to the case.
- Use the dropdown to switch between image series (e.g., Initial Records).
- Click the Expand icon to open the image in full view.
- Treatment Card: The Treatment Card provides a structured grid view of orthodontic visits and clinical tracking based on the configured treatment template.
Available Actions
- + New Visit: Create a new scheduled visit.
- + Next Visit: Schedule the next follow-up visit.
- + Emergency Visit: Record an emergency appointment.
- + New Care Note: Add a clinical note for the case.
- Show Chart: View related charting details.
- Expand All Cells: Expands all grid fields.
- Show/Hide Inactive Columns: Customize visible columns.
Billing Tab
The Billing tab provides a complete financial overview of the orthodontic case, including production generated, payments collected, balance due, and production schedules for both patient and insurance portions.
The top panel displays a consolidated billing summary of the case.

Total Production Generated: Displays the total amount produced against the overall case value.
Example:$195.00 / $1,170.00- $195 → Production generated so far
- $1,170 → Total planned production for the case
- Total Payment Collected: Displays the total payments collected for the case.
- Total Balance Due: Displays the outstanding balance remaining for the case.
- Click +Add Pat. Production Schedule to add a new patient production schedule.
- Click +Add Ins. Production Schedule to add a new insurance production schedule.
Production Schedule
- Each production schedule appears as a separate card.
- The Status Indicator displays the current state of the production schedule, such as Draft, Active, Paused, or Completed.
- You can view the financial summary within a schedule including:
- Prod. Generated: Generated amount vs total scheduled amount.
- Payment Collected: Payments received.
- Balance Due: Outstanding amount.
- Periodic Billing Start Date: Date when recurring billing begins.
Action Items in a Schedule:
- For schedules in Draft status: Print, History, View, Delete, and Start icons are available.
- For schedules in Active status: Print, History, Edit, Terminate, Pause and Complete icons are available..
Images
- You can view the Images associated with the case.
- Click New Image Series to add images.
- You have the options to Download, Print, Send to portal, Refer Out, Delete, view in Full Screen and Compare the images.
Appointments
- You can filter by Appt. Date and Time, Provider, Location, Production Type and Status.
- Click Go to Patient Appointments to navigate to the Patient Appointments section.
- Click +Add Appointment to navigate to the Scheduler and book appointment.
Ortho Chart
- Here, you can view the Ortho Chart.

Care Notes
- Here, you can view the care notes associated with the case.
- Click +Add Care Note to add a new care note.
Lab Cases
- Here, you can view the lab cases associated with the case.
- Click +Add Lab Case to add a new lab case.
Treatment Card
- Here, you can view the treatment card details.
- Click Show Chart to view the Ortho Chart.
- Click Show Images to view the Ortho Images.

Documents
- Here, you can view all the documents associated with the Ortho Case.
- Click +Add Existing Document to add a document to the case that is already in the system.
- Click +Add New Document to add a new document.
Notes: When adding Appointments, Care Notes, Lab Cases, or Documents, choose the relevant clinical case to ensure all related information is tagged to the case.
Pre-Authorizations
- Here, you can view all the pre-auths associated with the case.
- You can filter by Pre-Auth ID, Tx Provider, Location, Carrier, Pre-Auth Flag, Status and Submitted Date.
Claims
- Here, you can view all the claims associated with the case.
- You can filter by Claim ID, DOS, Billed Amount, Ins. Expected, Tx. Provider, Carrier, Claim Order and Claim Status.
Case Details
- Click Show Case Details to open the Case Details sidebar.
- You can view details such as Tx. Plan , Location, Orthodontist, Dental Assistant etc.
- You can track Case Progress by selecting the tasks you have completed.
