Now it is time for the Treatment Plan Presentation & Organization
The purpose of this workflow is to standardize the creation, organization, phasing, and presentation of treatment plans within CareStack. A structured treatment planning process ensures clinical accuracy, improves financial transparency, and supports higher patient case acceptance.
By organizing treatment into clear phases and presenting treatment plans consistently, practices can improve patient understanding, streamline scheduling, and maintain accurate treatment documentation.
Lets
Navigate to the Treatment Planner tab within the patient chart.
Any newly charted treatment will appear in the Ungrouped Treatments section.
Ungrouped treatments are automatically organized by:
Date charted
Most recent entries appearing first
Locate the group of ungrouped procedures that should be added into a treatment plan.
If Viewing Completed or Rejected Codes is necessary:
users may unselect the filter boxes on the upper left hand corner to temporarily display completed or rejected procedures.
By default, the Treatment Planner hides:
Completed codes
Rejected codes
This prevents the Treatment Planner from becoming cluttered with treatment that is no longer clinically relevant.
Now we will Select +New Treatment Plan
When adding treatment into a plan, a new window will appear allowing the user to choose from:
A predefined Treatment Plan Template
A brand-new Treatment Plan setup
Using predefined templates is recommended for commonly performed multi-phase treatment workflows, as it improves efficiency and standardization.
If a new plan setup is required:
Select New Treatment Plan.
Enter the applicable treatment plan details.
Treatment Plan Details May Include:
Treatment plan name
Code status
Location
Diagnosed conditions
Assigned treatment coordinator
Alternative treatment plans (if applicable)
Once we select our predefined plan we can click on create
Organizing treatment into phases improves patient understanding and helps simplify scheduling and financial expectations.
Proper phasing allows patients to clearly understand:
Immediate treatment needs
Long-term treatment sequencing
Financial expectations over time
Lets move our ungrouped Tx into our plan
Select the codes you want in this plan
Right click select move to treatment plan
To manually assign procedures into phases:
Select the desired procedure codes.
Right-click the selected codes.
Choose Add Phase.
If additional phases are needed:
Select Create New Phase.
This allows staff to customize treatment sequencing based on the provider’s recommendations.
If Alternative Treatment Plans are required:
CareStack supports presenting multiple clinical treatment options without duplicating charted procedures.
Examples may include:
Implant vs. Bridge
Extraction vs. Root Canal
Alternative restorative materials
How do we Link Alternative Treatment Plans
To create the an alternative treatment plan:
Right-click on the grouped treatment.
Select Link Alternate Tx Plan.
This allows the same diagnosed procedures to be organized into different clinical treatment options for patient review.
An Important Reminder About Alternative Plans
If multiple treatment options are presented to the patient:
The treatment option not selected should be marked as Rejected.
This ensures treatment plan reporting remains accurate and organized.
Now it is time to Review Fee Estimations
Accurate fee estimation is essential for patient trust and financial transparency.
Before presenting treatment:
Review all fee estimates carefully
Confirm insurance information has been entered correctly
Make any necessary corrections prior to presentation
How do we Understand Fee Breakdown Categories:
Each procedure includes a detailed financial breakdown.
Fee
The total production amount associated with the procedure.
Insurance Estimate (Ins. Est.)
The estimated portion expected to be covered by insurance.
Practices may see:
Ins. 1
Ins. 2
when multiple insurance carriers are involved.
Discount (Disc.)
Displays any applicable discounts applied to the procedure.
Patient Payable
Displays the estimated amount the patient is financially responsible for paying.
After making corrections to insurance or fee details:
Revisit the treatment plan.
If the Auto-Recalculation Fee Feature is enabled, CareStack will automatically recalculate insurance benefits and update the patient estimate accordingly.
If this feature is not enabled, contact support for activation assistance.
Or select the Recalculation button on the upper right to update your fees
Once the treatment plan has been properly organized and phased, the plan is ready for patient presentation.
To begin the presentation:
Select Present Plan.
Choose Present with Fee Details.
This generates a clean, patient-friendly view displaying:
Treatment phases
Procedure details
Financial estimates
This presentation format improves patient understanding and financial transparency.
If you need to Adjust the Plan in Real Time
because the patient declines specific treatment during the discussion:
Uncheck the box next to the declined procedure.
The system will automatically recalculate the estimate totals based on the remaining selected treatment.
This allows staff to adjust treatment plans dynamically during the presentation.
At the bottom of the presentation window, the Treatment Plan Agreement section may be edited to include:
Financial arrangements
Payment terms
Special case details
Customizing the agreement helps ensure accurate documentation of patient-specific arrangements.
Once the patient agrees to treatment: We want to Capture the Patient Signature
Capture the patient’s electronic signature using:
Signature tablet
Mouse pad
Click Save.
Upon saving:
CareStack automatically marks the treatment plan as Accepted.
A signed PDF copy is automatically saved to the patient’s documents.
This creates a permanent and legally documented treatment acceptance record.
If the patient chooses not to sign the treatment plan:
Select the Presented button instead of saving as accepted.
This workflow:
Updates the treatment plan status to Presented
Does not mark procedures as accepted
Whenever a patient refuses to sign:
Add a note to the treatment plan documenting that the patient was presented with the treatment options but declined to sign the agreement.
This ensures proper documentation of the treatment presentation discussion.
When treatment plans are organized and presented consistently, practices benefit from:
