The fall season is here, and we are so excited to share valuable updates, simplified workflows, and beneficial workarounds within the PMS. Mapped out exclusively for 5.33, CareStack offers practices the distinctive opportunity to increase productive user experience as always. With our comprehensive and intuitive features, we empower practices to enjoy their benefits as well as enhance patient experience.
The rollout of features this season includes the ability to notate facilities when seeing patients outside of a dental clinic, calendar integrations to help patients keep track of upcoming appointments, quick tips to easily access voided claims in the ledger that are hidden by default, inclusion of the yield indicator to reveal open claims, quick and customizable ways to print the ledger, streamlined ways to reverse payments or adjustments, stats enriched concise data to draw actionable insights with our payment failed/overdue notifications. What’s more, you can confidently leverage accurate data with our efficient receipt deletion workflow and reduce confusion on unapplied credits by utilizing the benefits of our location warning feature, and additionally, to your advantage, there’s a handful more.

1. ICD-10 Codes
The complete, standard list of ICD 10 Codes has been marked to the PMS. The inclusion of this entire list will let users easily select the required ones from the ICD Codes dropdown, be it on the CodeStack or Clinical Chart, while adding treatment codes. The advantage is that it lets users skip the step of manually entering them, thereby saving them both time and effort. Click here to learn more.
Front Office
1. Clear Queue Permissions
When the clear queue permission is set as ‘Yes,' the ability to clear the queue will be available for users to access on the Scheduling List for both the Reschedule as well as Short Call Queue.
Patient Services
1. Online Appointment Booking
CareStack has made it easier for patients to add their confirmed, online appointment to their Apple/Google calendar. Utilizing the Add to Calendar button made available in the confirmation email allows patients to easily access this amazing feature. This way, patients are effortlessly reminded of their upcoming appointment schedule. Moreover, this feature will come handy for all those patients who have only registered their mobile numbers.
Note: Appointment summary details are always and only sent to the patients registered email id.
2. Online Appointment Permissions
As soon as Edit Online Appointment Settings is enabled by a user, the View Online Appointment Settings will be selected and enabled by default.
Only those users who have enabled their Edit Access will be able to access the Settings to configure Online Appointments.
Note: When the View/Edit Online Appointment Settings are not enabled, the user’s permission will be limited to a Read Only access.
3. Patient Connect
Patients can check in for an appointment from Kiosk, even when their members have forms or personal information that are pending completion. Click here to know more.
4. Patient Portal
Patients can use the Quick Sign Forms feature to reuse their saved signatures while filling up their forms within Patient Portal. This saves time and effort prior to checking in for their appointment. Click here to know more.
Revenue Cycle Management
1. Ledger
a. Hide Claims in Voided Status from Ledger by Default
If a claim was voided and no insurance payment was tagged to that claim, the voided claim will be hidden from the ledger by default. Yet, it will still be visible in Billing > Claims > Show Claims in Void status.
Here’s how you can Void A Claim.
b. Claims Indicator on the Financial Summary
Within the Financial Summary of the ledger, a yield indicator will be present for Open Claims. Upon clicking, you can view the number of open claims. Clicking the ‘View’ hyperlink will open a new tab with that patient’s claims (same action as Billing > Claims).
c. Ledger Print Customization
From the ledger, clicking on Print gives the option to print the entire ledger, or print your current view of the ledger. This includes the customizations, filter by, and date range that has been applied to the ledger you are printing.

d. Actionability on Payment Allocation Modal
When clicking on ‘View Details’ of a code from the Ledger, and within the ‘Transactions’ tab, you can Reverse payments or adjustments.
2. Payment Plans
a. Sign Draft Agreement from Payment Plan View Modal
If the payment agreement was not signed at the time of creating the payment plan, you can go back to the payment plan, click ‘View & Sign Agreement’, and click the ‘Sign’ button, now located on the lower right of the screen.

b. Patient Payment Failed/Overdue Notification
We replaced the red dot on ‘Patient Payments’ under the System Menu with a yield icon. Upon hover, it tells you the breakdown for ACH Failed Payment Plans, Failed Payment Schedules, and Overdue Payment Schedules.
i. To get the itemized list for ACH Failed Payment Plans, click into Patient Payments > Payment Plan Control Center > filter grid to only show ‘Failed’ in the ‘Status’ column.
ii. To get the itemized list for Failed Payment Schedules, click into Patient Payments > Payment Plan Control Center > ‘Take Action’ within the Amount Overdue/Failed KPI, and filter the ‘Status’ column to show Failed.
iii. To get the itemized list for Overdue Payment Schedules, click into Patient Payments > Payment Plan Control Center > ‘Take Action’ within the Amount Overdue/Failed KPI, and filter the ‘Status’ column to show Overdue.
c. Receipt Deletion Workflow
Upon deleting a receipt that was associated with a payment plan, the details under the Amortization Schedule will properly revert as if the payment was never taken, so you have accurate data in regards to the amount paid, any past due amounts, future scheduled amounts, remaining number of payments, and the last payment date.
These details will also reflect in the payment plan control center.
Note: Deleting the receipt WILL NOT refund or void the transaction. This workflow is most commonly used for deleting cash or check receipts within a payment plan.
d. Link Receipt to a Payment Schedule: Info Icon
When linking a receipt to a payment schedule, we added an info icon to state the criteria for the types of payments that will populate within the grid to be linked.
Note: CareStack will be changing all practices over to the New Ledger starting January 2024 and decommissioning the original ledger till date. Yet, if you want to be upgraded to the new ledger sooner than January ’24, then, please contact support by chat to make a request for your office.
Reporting and Analytics
1. New Operational Report
CareStack has implemented select UI modifications on the New Operational Report. We have incorporated these changes based on the feedback that we have received. The refinements include:
i. The Search box now allows you to search for saved filters.
ii. View all reports by its title on the left pane.
Note: The left pane was introduced to make the navigation to different reports easier.
iii. Choose any of the saved filter criteria to create a new report with the ‘Select Existing’ feature.
a. The filter criteria selected while creating a new report can be updated, renamed or
even have it saved as a new filter.
iv. The ‘Download Report As’ button has been included in the Create New Report slideout.
a. The ability to download will remain as usual on the Report Generation page.
v. You will see a navigation menu addon, by the title ‘User Created Filter Name’ on the Report Generation page.
Note: The advantage is that you can view all saved filters as well as select and switch between those saved filters to quickly generate the desired report.

Platform
1. Platform Permissions
a. IP Restriction
CareStack has rolled out the IP Restriction feature to offer practices an additional security measure for the office as well as equip them with improved access control.
i. This feature can be enabled directly from Practice Settings.
ii. Once the IP restriction has been implemented, users can only login from the range of IPs set up by their administrators.
Note: If a user attempts a login outside of this range, the system will notify the user with an error message.

b. User Login: Password Resetting
i. Ability to Enable Password Expiry Period by selecting ‘Yes’ and then set it within the prescribed period limit of 1 to 365 days.
- This allows practices to enforce users to periodically reset their password.
