Delivering a seamless check-in experience is just as important as delivering excellent clinical care. A structured check-in process ensures patient information is verified, outstanding items are addressed, and the clinical team is properly notified when a patient is ready.
When practices adopt a clear check-in protocol, they are better positioned to maintain accurate records and provide a professional and transparent experience for every patient. This guide outlines the ideal check-in review to maintain consistency and build stronger patient trust.
Why a Standardized Check-In Workflow Matters
Implementing a uniform check-in process creates consistency across your team and helps prevent common administrative and documentation issues. Without a structured workflow, practices may experience incomplete documentation or missed financial opportunities.

Step 1: Using the Scheduler
The check-in process begins with a high-level review of the day's schedule to prepare for arriving patients.
To begin the review:
Open the Scheduler in CareStack.
Locate the patient’s appointment for the day.
Review the patient's account for pending forms and balances by left-clicking
to open the appointment.
This initial step allows the front office team to identify immediate needs before the patient reaches the desk.
Step 2: Appointment Slider Review
It is recommended to open the appointment slider before updating the patient status. This approach allows staff to perform a comprehensive review of all critical visit components. If the office has different statuses that indicate when a patient has arrived versus when they are ready to be seated

Step 3: Update Appointment Status
Once the information has been verified and all necessary items are completed, the appointment status must be updated to reflect the patient's arrival.
Finalizing the Check-In:
From the appointment modal, update the status once the patient has arrived
This action visually confirms within the schedule and patient tracker that the patient is ready for the clinical team.
Once the status is updated the patient tracker will reflect the change signaling to the clinical team that the patient is ready to be taken back. Please review this article for best practices around the patient tracker. Patient Tracker (Compressed View)
Tips & Tools: Quick Status Update
For appointment details that have already been reviewed and discussed with the patient, a quick status update may be sufficient to improve operational efficiency.
Staff can:
Right-click on the appointment from the schedule.
Update the patient status directly.
This method allows for faster check-in when patient information is already current and requires no further clinical or financial updates.
