An ERA, similar to an EOB, includes patient details, practice information, line–level claim payments, and adjustment codes. In CareStack, ERAs provide quick, automated access to insurance payment information. You can customize your practice settings to control how ERAs are processed, including automatic posting and defining thresholds for manual review.

Access Electronic Remittance
Let's walk you through how to access Electronic Remittances (ERAs).
- Navigate to the System Menu > select Electronic Remittance under Billing.
View & Filter ERA Postings
Under the ERA Postings tab, you can view ERAs based on different statuses.
- Pending Posting: Unposted ERAs that either did not auto-post or are partially posted.
- Today's ERA: ERAs that fall under the current date.
- Needs Attentions: ERAs that cannot be parsed due to some parsing error where the patient or claim ID cannot be mapped to the system.
- Exclusions: ERAs that are excluded from auto posting based on the set Exclusion Criteria.
- Denied: ERAs that are denied, where the expected insurance payment was unpaid (insurance paid = 0).
- Pending Payment Creation: ERAs for which a receipt must be created.
- Posted: All ERAs that are fully posted.
- All ERA's: All ERAs received within the system.
On the ERA grid, you can view and filter ERAs by:
- Date
- Carrier Name
- Check/EFT Trace No
- Payment Date
- ERA Amount
You can also view other ERA information, such as:
- Posting %: Shows how much of the ERA has been posted.
- Number of Claims: The number of claims linked to the ERA.
- Claims Needs Attention: The number of linked claims that need attention.
- Exclusion: The number of linked claims that were excluded from auto-posting based on the set exclusion criteria.
- Denied: The number of linked claims where codes were denied (insurance paid = 0).
- Click the Filter icon to use Advanced Filters, such as:
- Payment Type: Select whether the payment was done by Check, EFT, or Other payment types.
- Patient Name: Enter the patient's name to view all ERAs linked to them.
- Claim #: Enter the desired claim number to view all ERAs linked to it.
- Choose the required criteria and click Search.
- Use the Location dropdown to select your preferred locations.
- By default, the user's location will be pre-selected.
Set Up Default ERA Locations
To set up user level ERA location preferences,
- Navigate to the System Menu > select User Settings.
- Under General Settings, click Edit.
- Under Default ERA Locations, select your preferred locations.
- Click Save.
- The selected locations will now appear by default when the Electronic Remittance page is opened.
Manage Individual ERAs
- Click View next to an ERA to view its details.
On the ERA slide-out,
- You can view and filter claims by Patient Name, Claim #, and Claim Status.
- Print ERAs, if needed, either all at once or individually for each patient.
- Click on any claim to view detailed information and take actions, such as Attach Documents, View Plan Details, View Claim, or Delink Claim.
- Use the View in Insurance Payments quick link to manually post the payment as an insurance payment instead of an ERA.
| Note: You can manually add Paid as Expected, Add Claim Level Payment, or Add Line Level Payment, similar to a normal insurance payment. |
- To post a claim Needs Attention, click on it and link it to the intended patient claim.
Auto Post Individual ERAs
To auto-post individual ERAs, follow these steps:
- Click View on an ERA from the Pending Posting tab.
- Under the ERA details, if account-level or location-level ERA auto posting is not enabled, select Auto Post ERA to post it individually.
- After selecting a patient and their claim, use the ERA remittance details at the top of the screen to help you post the payment at the bottom, using either Claim Level or Line Level Payment.
- View the details on the right-hand side or access code details to assist with posting the payment, such as previous transactions on the selected code.
Link Receipts to an ERA
Existing receipts will be automatically linked to an ERA based on the EFT Trace Number and amount. If a receipt was already added via the Insurance Payments page and a new ERA is received for that payment, the system will attempt to link them.
| Note: If the EFT Trace Number and amount do not match, the system cannot link the existing receipt. |
If the system does not link an existing receipt or if there is no existing receipt, a new receipt must be created. To do this,
On the ERA Postings grid,
- Click Add Receipt next to the ERA.
- On the Add Payment modal, review the payment information.
- Click Add Receipt.
- If CS Pay is enabled for your practice, click Pay with CS Pay.
View Auto Posting History
Follow these steps to view the auto-posting history.
- On the ERA Postings grid, click View All Auto Posting History on the top right.
- This opens a grid showing all automatically posted ERAs and their status (pending or successful).
- Use the filters on the top to sort through and view the required ERA postings.
