Transfers receipts are essentially generated in Carestack when there is a transfer of money (credits) from an insurance receipt to the patient's account as unapplied credits.

| Note: Even though the idea behind transfer receipts is good, the creation of a transfer receipt is not much appreciated. The reason behind this is that such receipts are created from another receipt and not an actual payment source. Hence, this might mess up reports. Insurance payments are, therefore posted in such a way that transfer receipts are not generated. This is done by adding adjustments to the codes for which there are chances of the creation of transfer credits. |
Let's take an example of an Insurance Payment where the Patient Responsibility is $20 and Insurance Responsibility is $40. But the Insurance paid $25 in place of $20, owing to which there is an excess of $5 credit which needs to be transferred to the Patient in this situation. Let's explore the workflow to address this scenario of credit transfer.

- Search for the patient using the Global Search Bar.
- Hover over Billing > select Ledger.
- On the ledger, patient and insurance payments appear next to the corresponding code based on the estimate.
Auto-creation of a Transfer Receipt (In Case of Overpayments)
Navigate to the System Menu > select Insurance Payments.
Select the desired Insurance Receipt.
- Select the Apply Payment tab in the Insurance Payments slide-out.
- Select the desired patient.
- On the intended claim, select Add Line Level Payment.
- Enter the amount paid by the insurance carrier in the Ins. (Insurance) Payment field.
- Anytime the insurance paid is more than the Insurance Allowable, the Overpayment field appears, prompting the user to select one of the following actions:
- Choose Credit to Patient to transfer the amount to the patient's unapplied credits.
- Choose Increase Insurance Allowable & Apply to update the Insurance Amount.
- Choose Transfer Balance from Patient to transfer the amount to the patient's unapplied credits.
- Click Submit.
In the Warning modal that appears, click Proceed to continue.
You will receive a toast notification stating, 'Applied Successfully'.
A Transfer Receipt will be created for the patient. To view this,
- Search for the patient using the Global Search Bar.
- Hover over Billing > select Ledger.
The ledger shows the Transfer of Credits from the insurance receipt, which adds up as Unapplied Credits.
Delete Transfer Receipt (In Case of Carrier Recoupment)
When a transfer receipt needs to be deleted due to a carrier recoupment or other reasons,
- Search for the patient using the Global Search Bar.
- Hover over Billing > select Payments.
In the slide-out that opens up,
- Select the All Payments tab.
- Checkmark the intended receipt.
- Select Delete Receipt(s).
In the Delete Receipt modal that opens up,
- Enter the Reason for Claim Reopen.
- Enter the Reason for Deleting Receipt.
- Select Re-open & Delete Receipt.
You will receive two toast notifications stating, ' Claim(s) Reopened Successfully' & Receipt(s) deleted successfully'.
| Note: Once you delete the payment, the credits will be returned to the insurance payment where they originated. You must apply those credits to the claim using the responsibility fields. |
To close the re-opened claim,
Navigate to the System Menu > select Insurance Payments.
Select the specific Insurance Receipt.
- Select the Apply Payment tab in the Insurance Payments slide-out.
- Search for and select the patient.
- On the intended claim, select Add Line Level Payment.
- Enter the amount paid by the insurance carrier in the Ins. (Insurance) Payment field as zero (0) because no additional amount is necessary.
- Click Submit.
You will receive a toast notification stating, ' Applied Successfully'.
