Ortho Cases involve the management and monitoring of orthodontic patients within CareStack. This includes information about patients' accounts, treatment plans, payment schedules, and appointments which can be handled with ease.

Navigate to Ortho Cases
Perform the steps below to navigate to Ortho Cases.
Select the patient using the Global Patient Search Bar.
- Click Billing from the left side panel.
- Click Ortho Cases.
You will be able to see all the Ortho Plans and their Statuses for the selected patient.
Add a New Ortho Case
To add a new ortho case for a patient, perform the steps below.
Click + Add Ortho Cases.
In the Add Ortho Case slide-out, enter the following information:
- Enter the Case Name.
- Select the Treatment Provider.
- Select the Location.
Refer to the details below to complete the Visit Details
- Treatment Start Date: Select the expected start date of the treatment.
- Treatment End Date: Select the expected completion date of the treatment
- Banding Date or DOS: Select the date of service for the treatment.
- Expected Number of Visits: Enter the expected number of visits.
| Note: Banding Date or Date of Service (DOS) refers to the date of service of the treatment provided by the practice to the patient. Also, the Banding Date is the first date on which the initial code for the orthodontic treatment will be entered. |
Refer to the details below to complete the Treatment Details
- Treatment Code: Select the Treatment Code.
- Periodic Billing Code: Select the treatment code used for billing purposes for all subsequent visits.

Billing Interval: Specify the frequency at which the billing code will be applied to the treatment.
- The available options are Weekly, Monthly, Quarterly, Half-Yearly, and Yearly.
- First Periodic Billing Date: Select the date from which the billing interval begins.
- Patient Amount: Input the total amount the patient will be charged for the treatment.
- Insurance Amount: Input the amount that will be claimed from insurance.
| Note: The Total Amount will be calculated and displayed when you enter the Patient Amount and Insurance Amount. |
- Enter Notes.
- Click Save.
Once you complete the Ortho Case, the Case Summary will be displayed, which will comprehensively explain the Case you entered inside the Payment Plans.
Overview of Ortho Cases
In the Overview Section of the Ortho Cases, you will be able to find:
- Treatment Start Date, which lists the date the treatment begins.
- Planned End Treatment which is the date the practice has planned to complete the whole course of the treatment.
- Net Paid the Payments so far completed by the Patient.
Month in Treatment depicting the duration of the treatment.

Previous Visits
Previous Visits can be used to record the previous visits of the patient to the practice.
Under Case Details, enter Previous Visits of the patient visit,
Click +Add Visits.
In the New Visit modal:
- Select the Provider.
- Enter the Treatment.
- Enter the Notes.
- Select the date when the Next Visit Due.
- Enter the Treatment Planned.
- Click Save Visit.
Once you complete the visit details, you can find it in the gird, which can be edited with the Edit icon or deleted with the Delete icon.
Treatment Objectives
A Treatment Objective is a way for the dentist to describe the treatment for the case outside the context of the Treatment Codes.
Click + Add Objective.
Enter the details and click (anywhere on the screen) to save.
Providers can also click the checkbox to mark it as completed.
You can also include Clinical Notes in the respective profile.
Click + Add Note.
- Select the Templates.
- The templates that are selected will be added to the Care Note Preview.
- Click Add Note.
- You will be prompted to click the Care Note slideout.
- Enter the mandatory responses for the Care Note.
- Click Finalize.
