Practices can customize scheduler blocks and scheduler views through Practice Settings based on their preferences. This setup will impact how the scheduler slots will look when the user navigates through different views in the Scheduler. With the Scheduler Settings, practices can customize the Scheduler to meet specific needs and ensure efficient and effective appointment management. Configure General Settings
To configure scheduler settings, perform the steps below.
Navigate to the System Menu > select Practice Settings > Scheduler > Scheduler Settings.
Click Edit on the top right of General Settings.
Under General Settings, you can configure the following settings:
- Default Slot Duration (in mins): Set the default slot duration as 5, 10, or 15 minutes.
- Enable Cancelling Reason: A practice or a provider can enable or disable the ability to provide a cancelling reason. To learn more about managing cancellation fees and cancellation codes, click here.
- When booking appointments, use: Whether to use the Duration of selected slots or the Duration set for the production type.
- When blocking appointment slots, show: Whether to display block notes First or Provider & Duration first.
- Click Save.
Customize Scheduler Views
The Customization of Scheduler Views section is divided into five tabs:
- Patient View: It focuses on basic information like patient and appointment details.
- Eligibility View: It deals with the patient's insurance eligibility and plans.
- Claim View: It deals with the claim status related to the appointments.
- Custom View: The block can be used to customize a new view as needed for the Scheduler.
- HIPAA View: This tab focuses on the providers and procedures. Being HIPAA compliant, it excludes patient information.
Note: Patient View, HIPAA View, Eligibility View, and Claim View are default settings within the Scheduler settings, while the Production View is configured using a custom option. |
Follow the steps below to customize Scheduler views. While any view can be customized, the following example demonstrates how to configure the Custom View.
- Select Custom.
- Click Edit.
- Enter the View Name.
You can customize the Appointment Block Color Setting.
- Choose the Slot Color from the Appointment Slot Color dropdown.
- Choose the Left Margin Color from the Appointment Left Margin Color dropdown.
- Choose the Scheduler Block Border Color from the Appointment Border Color dropdown.
| Note: Options under the Appointment Block Color settings have been set with an inbuilt color. By selecting different options under the Appointment Block Color settings, you can view the changes on the scheduler. |
Drag the elements from the list below and drop them onto the right-hand-side preview box of the Scheduler block.
- Patient information: The basic information regarding a patient.
- Other information: Necessary medical information such as Linked Treatment, Provider Name & Duration, Lab Due Date, and Insurance Carrier name, etc.
- Flags: Flags are used to quickly identify important details regarding the patient, whether they have special conditions or notes the provider should be aware of.
- Click Save to reflect the changes.
Note: In the appointment slot preview, added elements show a Delete icon, while available elements display a Drag icon. You can remove an added element using the Delete option and re-add it at any time by dragging it back into the preview. |
| Note: Based on your preference, you can choose to display the patient's First Name, First & Last Name with Patient ID, or Full Name with Patient ID (including Middle Name, Suffix, and Prefix) on the appointment card. The patient name layout that you choose here will be reflected in the Scheduler and the Scheduler Printout. |
Result
The configured patient name layout will be displayed on the scheduler as shown below.
The configured patient name layout will also be displayed on the Scheduler/Routing Slip printout.
All the Views under Customization of Scheduler Views have similar functionalities and elements as the Custom View but with minor differences as explained below.
In Patient View,
- There is no naming field.
In HIPAA View,
- You have restricted information about the patient.
In the Eligibility View,
- The appointment slot color is set by default.
