Create a Campaign
There are 4 main steps to create a campaign, and they are as follows:
Perform the instructions given below to complete the 4 steps.
- Navigate to the System Menu > select Patient Engagement.
- On the Campaign page that opens up, click + Create Campaign.
Step 1: Campaign Type & Details
| Note: The description of the campaign type will be provided in each tile. The tile will also show the Campaign Type and if it is Recurring or One Time. Click here to explore sample Appointment reminder and confirmation campaigns (drip campaigns). |
- Select the type of Campaign Type as required.
- Enter Campaign Details. Check below for more information on the details to be filled out.
- Click Next to proceed.
More Information on Campaign Details
- Name: Enter the name of the campaign.
- Description: Type the content that describes the campaign.
- Branding: Select if the campaign targets global or location-specific targets
- Location: Select the required locations or select All as needed.
Step 2: Select Recipient Criteria
The information required for this step will vary depending on the type of campaign.
| Note: The Recipient Criteria do not apply to Birthday Notifications, New Patient Greetings, and Patient Re-Engagement Campaign Types. |
a. For Appointment Reminder, Confirmation, and Notification Campaigns
- Select the Recipient Criteria for the following: Providers, Appointment Location, Production Types, Codes, Trigger Status, and Family Appointments.
b. For Promotional Campaigns & Automated Recall
- Select the Recipient Criteria from the available criteria.
c. Other Information
For Automated Recall Campaigns,
- You need to select a Recall Name.
- You can create a custom Filter Criteria by clicking Edit.
- Click here to configure SMS bundling.
Step 3: Template Creation
- Select a medium - Email, Text, or Voice to start creating the campaign template.
For Email
- Select an Email Template.
- To compose the email from scratch, click Use Blank Template.
- Hover the mouse over an existing template and click Use This.
- You can also add new templates by clicking Upload HTML Template. Click here to learn more.
- Enter the email Subject.
- Set a Schedule to Send timeline, if needed.
- Enter the content for the mail.
- Click Next.
| Note: For Promotional Campaigns, you can add attachments to an Email Template. Drag and drop the intended file(s) or click Browse Files to upload the attachment. Accepted file types are .doc, .pdf, .jpeg, .jpg, and png. Attachment size up to 20 MB is acceptable. |
| Note: The Pending Forms quick links are most useful in the Form Reminder Email Campaign, allowing patients to take action on pending documents and unsigned medical history forms. |
For Text
- Set a Schedule to Send timeline, if needed.
- Enter the content for the text message. You can use the Saved Templates by clicking on them on the left. The content will be shown as a Preview on the right side.
- Click Next.
For Voice
- Set a Schedule to Send timeline, if needed.
- Enter the Content for the message and the Voice Message Content.
| Note: The voice message content will be read if the call is answered by voice mail. |
- Click Next.
Step 4: Summary
- Review the contents in the Summary and verify the Campaign details.
- You can edit any step at any time by clicking the pencil icon on the left.
- Click Save & Enable.
- A toast notification will appear on the top right stating, "Campaign saved successfully."
Viewing Campaigns
To view and manage campaigns, perform the steps below.
- Navigate to the System Menu > select Patient Engagement.
Here you can view all campaigns created in the system, organized into four tabs.
- Appointment: Appointment Campaigns are sent only to those patients who have subscribed for email, text, or voice notifications. Appointment Reminders, Confirmations, and Notifications will be part of this section.
- Patient Engagement: Patient Engagement Campaigns are sent only to those patients who have subscribed for email, text, or voice notifications. Automated Recalls and Patient Re-Engagement Campaigns will be part of this section.
- Operations: Operational Campaigns are sent only to those patients who have subscribed for email, text, or voice notifications. Patient Portal Emails, Form Reminder Emails, Birthday Campaigns, and New Patient Greetings will be part of this section.
- One-Time Promotions: Promotional Campaigns are sent only to those patients who have subscribed for marketing emails.
| Note: Users can enable or disable Appointment, Patient Engagement or Operations Campaign(s) by enabling or disabling the corresponding toggle. |
To View, Create a Copy, Edit or Delete a Campaign, click on the three-dot menu for the intended campaign entry.
