Share via Email makes it easy to securely send patient exams and images through a HIPAA-compliant portal, which completely avoids the hassle of downloading and reattaching files. Let's see how it works:
i. To share images via email:
- Select the patient using the Global Search Bar.
- Click the Aeka Images quick link.
- The AEKA Images slide-out opens, displaying the patient’s X-ray images and exams.
- Select the desired image(s) or exam(s).
- Click Share via Email.
In the modal that opens, choose whether to share with:
- Patient (Default): Sends to the patient’s saved email address; Or
- Other: Allows you to enter an external recipient’s email address (Responsible Party, Provider, etc.).
- The email content is pre-filled with a secure portal link and expiry details, and can be edited to include a custom message if needed.
- To restore changes to the default template, click Back to Original.
- Click Send Email.
- A toast notification appears confirming: 'Email sent successfully.' The recipient will receive an email with a secure link to access the portal.
ii. Let’s explore the recipient’s experience. Refer to the steps below for a step-by-step overview.
- The recipient receives an email with a secure access link.
- Click the link in the email to open the secure portal. Access to the portal is protected with an authentication code, which you can receive on your email by clicking Send OTP.
- Enter the Authentication Code to continue to the image portal.
You can then:
- View the shared clinical images along with the patient name and portal expiry details.
- Double-click any image to view it in an enlarged format in the Image Viewer.
Download images or exams by:
- Clicking Download All Exams to download all images at once; Or
- Selecting specific images and clicking Download Selected to download only the chosen images.
- Click Logout to securely exit the session.
