Let's explore the appointment metrics.
-
Scheduled Appointments: This metric represents the total number of appointments that remained scheduled in the selected date range.
- Excludes appointments that were marked as No Show, Cancelled, Deleted, or Rescheduled during that range.
- It captures the net number of active appointments expected to be seen during the period, supporting schedule utilization and forecasting.
-
Scheduled Appointment Production: This metric reflects the total dollar value of production based on procedure codes linked to scheduled appointments where the appointment date falls within the selected range.
- Excludes appointments that were No Show, Cancelled, Deleted, or Rescheduled.
- It is a forward-looking indicator of expected revenue and provider productivity, useful for forecasting and daily goal tracking.

-
Scheduled Patients: This metric counts the number of unique patients who have at least one active, scheduled appointment during the selected date range. This metric is distinct by date alone i.e., if the same patient goes to two location the metric would show value as 1 for both locations grouped together and 1 each for each location.
- Excludes appointments with statuses: No Show, Cancelled, Deleted, or Rescheduled.
- It is useful for tracking patient engagement, analyzing demand, and estimating clinical workload based on patient count rather than appointment volume.
-
Checked Out Appointments: This metric represents the total count of appointments that are currently marked as ‘Checked Out’, where the appointment date falls within the selected date range. It reflects completed visits where the patient has gone through all clinical and administrative steps, including any final billing or documentation, and the appointment has been formally closed out in the system.
- Tracking this metric helps assess daily operational flow, identify completion rates, and ensure proper end-of-day reconciliation for scheduled visits.
- Based on Appointment location, Appointment Date and Primary Appointment Provider
-
Checked Out Appointment Production: This metric shows the total dollar amount of gross production tied to appointments that were checked out during the selected date range by appointment date. It includes the value of all completed procedures linked to those appointments at the time of checkout. The figure reflects actual clinical work finalized and posted through the checkout process, providing a reliable measure of realized production.
- This is useful for tracking daily or period-based performance, comparing provider output, and aligning production with schedule utilization.
- Based on Appointment location, Appointment Date and Primary Appointment Provider

-
Procedures Not Linked to an Appointment: This metric represents the total number of completed procedures that were recorded in the system without being linked to an appointment. These may have been entered manually or posted directly to a patient’s ledger or chart, bypassing the formal scheduling workflow.
- Tracking this metric helps ensure data consistency and highlights potential documentation issues. A high count may indicate a breakdown in front-office or clinical workflows, making it harder to reconcile production with appointment activity and assess provider efficiency accurately.
- Based on treatment location and treatment provider
-
Cancelled Appointments: This metric captures the total number of appointments that are currently marked as ‘Cancelled’, where the appointment date falls within the selected date range. It specifically excludes deleted appointments.
- This metric gives a focused view of cancellations that represent true patient drop-offs, helping practices analyze schedule stability and patient follow-through without inflating numbers from normal rescheduling or administrative adjustments.
- Based on Appointment location, Appointment Date and Primary Appointment Provider
-
Cancellations Rate: This metric calculates the cancellation rate based on appointment date within the selected range. It measures the proportion of appointments that are currently marked as ‘Cancelled’ compared to the total number of booked appointments (This applies regardless of status; however, blocked slots, deleted appointments, and rescheduled appointments are excluded.)
- Cancellation Rate = (Cancelled Appointments) ÷ (Scheduled Appointments + Broken Appointments) × 100
- It provides a high-level view of how often patients are cancelling scheduled visits, helping practices monitor schedule disruption and identify opportunities for improved patient communication or rebooking strategies.
- Based on Appointment location, Appointment Date and Primary Appointment Provider
-
No Show Appointments: This metric represents the total count of appointments that are currently in ‘No Show’ status, where the appointment date falls within the selected date range. It reflects patients who were scheduled but did not arrive or cancel in advance, and were marked accordingly by the front office or provider team.
- Tracking no-shows helps identify gaps in patient follow-through, assess schedule reliability, and design reminder or re-engagement strategies to reduce missed appointments.
-

-
No Show Rate: This metric calculates the no-show rate by comparing the number of appointments marked as ‘No Show’ to the total number of booked appointments, where the appointment date falls within the selected range. This does not include blocked slots, deleted appointments and rescheduled appointments.
- No Show Rate = (No Show Appointments) ÷ (Scheduled Appointments + Broken Appointments) × 100
- It provides insight into patient attendance reliability and helps practices measure the effectiveness of appointment confirmations, reminders, and follow-up efforts. A consistently high no-show rate may indicate issues with patient engagement or scheduling practices.
- Based on Appointment location, Appointment Date and Primary Appointment Provider
-
Broken Appointments: This metric tracks the total number of appointments scheduled within the specified date range that ended up being broken, specifically those with statuses marked as ‘No Show’ or ‘Cancelled’. It excludes any appointments that were deleted or rescheduled, focusing only on confirmed cancelations or missed visits. Monitoring broken appointments helps practices identify patient attendance issues, optimize scheduling efficiency, and improve patient communication strategies.

-
Broken Appointments Rate: This metric calculates the rate of broken appointments by dividing the total number of appointments marked as ‘No Show’ or ‘Cancelled’ during the selected date range by the sum of all scheduled appointments (including any custom statuses) plus the broken appointments in that same period.
- Broken Appointment Rate = (Broken Appointment) ÷ (Scheduled Appointments + Broken Appointments) × 100
- Blocked appointments and deleted appointments are excluded from both numerator and denominator.
- This ratio helps measure patient reliability and scheduling effectiveness, providing insights into how often patients miss or cancel visits relative to total booked appointments.
- Based on Appointment location, Appointment Date and Primary Appointment Provider
-
Rescheduled Appointments: This metric reflects the total number of appointments that were rescheduled during the selected date range. These appointments may now exist in any other status (e.g., scheduled, completed, cancelled), but the act of rescheduling occurred within the selected timeframe.
- Rescheduling also includes moving an appointment to a different date.
- Excludes: Appointments that were cut and pasted on the same date; and blocked slots.
- This helps practices monitor how frequently patients are shifting their appointments and can highlight scheduling inefficiencies or patient compliance trends.
| Note: This number would not match with Appointment by provider report as the report does not include cut and paste reschedules. |
-
Rescheduled Appointments Rate: This metric calculates the rate of rescheduling as a percentage of all appointments that were scheduled during the selected date range. This does not include blocked slots, deleted appointments.
- Formula: (Rescheduled Appointments ÷ Scheduled Appointments + Broken Appointments + Rescheduled Appointments) × 100
- It provides insight into schedule volatility and patient follow-through, helping practices evaluate the reliability of their booked schedule and the need for additional confirmation strategies.
-
Based on Appointment location, Appointment Date and Primary Appointment Provider
-
Missing Transactions: This metric tracks the number of appointments where expected clinical transactions are incomplete. It includes two specific cases:
- Checked-out Appointments Without Completed Codes: Appointments that have been marked as checked out, but no procedure codes have been completed.
- Scheduled Appointments With Uncompleted Codes: Appointments that are still scheduled but have associated procedure codes that remain in an uncompleted status.
- This is based on appointment location and appointment date.
- Use Case: Used to identify potential gaps in clinical documentation or workflow completion. High numbers may indicate issues with checkout workflows, missed code entries, or delays in clinical documentation.
-
Schedule Utilization: Schedule Utilization measures the percentage of available working time after removing blocked minutes that is filled with scheduled appointments.
- Schedule Utilization = Scheduled Minutes ÷ (Working Time – Blocked Minutes)
- Scheduled Minutes is the amount of time booked as an appointment within the working hour.
- But if appointments overlap in the same slot it would be counted only once.
- If an appointment and block is in the same slot it is considered as scheduled minutes.
- Blocked Minutes is the amount of time blocked within the working hour of the location.
- But if blocks overlap in the same slot it would be counted only once.
-
Open Hours: Open Hours represent the amount of available working time that remains unfilled after subtracting both blocked minutes and scheduled appointments.
- It reflects the total time that was available for patient appointments but ultimately went unbooked.
- Formula: Open Hours = Working Time in Minutes – Blocked Minutes – Scheduled Minutes
