Navigating the Ledger
- Select the patient using the Global Search bar.
- Hover over Billing > select Ledger.

Utilize Patient Information from the Ledger
Patient Top Card
The top card is a unique information section that is independently designed for each module. The top card of the ledger provides an overview of the selected patient such as the patient's name, age, demographic information, attached flags, insurance details, linked members on the account, contact information, patient balance, unapplied credits, appointment details, etc.
- Click Pat. (Patient) Financial Notes to view the patient's financial notes.
- Click Active Payment Plans quickly view the patient’s active payment plans.
- Click View Details to open the corresponding Payment Plan slide-out.
Patient Ledger & Account Ledger
You can select the intended tabs - either the patient ledger or the account ledger. If you click Patient Ledger, the screen will display only the patient’s due entries and ledger transactions.
- To view independent ledger data of other members, click More Members.
If you select the Account Ledger, it will show you the due entries and ledger transactions of the account, where account members (possibly the patient's family) are also present.
Filter Ledger by Type: All, General, or Ortho
The Ledger can be filtered to display transactions by treatment type. Let's take a look at how the ortho and general ledgers are differentiated based on the Ortho codes.
- All: Displays all ledger transactions associated with the patient or account, including both General and Ortho treatments.
- General: Filters the ledger to show only transactions related to general treatments.
- Ortho: Displays only orthodontic-related treatment transactions
Ledger Items
- Aging Buckets: This is the breakup of outstanding balances by the length of time they have been due. These categories help practices track and manage their accounts receivable by showing how long bills have been unpaid. The ledger displays the breakup of outstanding aging balances by the number of days. For example. 0-30, 31-60 days, etc.
- Bal. Due (Balance Due): The balance due is the total of all aging balances for the patient or insurance.
- Total Aging Bal. (Total Aging Balance): It is the sum of total patient and insurance aging balances.
- Rem. Cont. Amt. (Remaining Contracted Amount): Remaining Contracted Amount is the amount still due in payment plans.
- Ortho Pending Production: Shows the remaining amount to be generated from the Ortho contract.
- Patient Unapplied: It is the Patient's unapplied credits.
- Net Balance: The total balance minus the patient's unapplied credits.
Customize Ledger View
You can sort the ledger views based on the date range and customized view.
1. Date Range
With the date range, you can sort the ledger grid by transaction date. Follow these steps:
- Select the intended Transaction Date from the drop-down menu.
- You can sort the ledger by Today, Past Week, Past Month, Past Year, or All of them.
- For a custom date range, select Custom from the drop-down menu.
- Select the Start and End dates.
2. Customized View
The customized view allows you to arrange items and select only the information you need in the Ledger table and transactions list, based on your practice’s preferences.
For example, if you do not want to see the aging buckets on the ledger:
- Click Customize.
- Uncheck Aging Buckets.
- Click Save & Apply to apply the changes and update the Ledger view.
