Overview
As you know, (at this point) we are still in the conversion stages of extracting your data from your legacy software. One of the items that will be converted and uploaded into the CareStack platform will be your User List, which is all your users and providers that were created in your old system.
To make this process as smooth as possible, we’ve uploaded your User List into our CareStack Champion portal. Here, you’ll be able to verify the converted data and enter any important details for your users so that we can complete the conversion.
- Soon, you will receive an email from Champion confirming that your user account has been created. Follow the link to set up your password, then use these credentials to log into the Champion portal.
- Once you’re logged in, you’ll be taken to your Workspace where all your work validating the user data will be done. In the top-right corner of the screen below your name, you'll notice your Deadline Date. This is the ideal time to have this task done by, but if you are not able to complete it by then, Champion will gently remind you every two days that your User List is pending completion.
- Clicking on Status right next to it shows us an overview of our progress in this task. Out of my locations that are being converted (I only have one, you may have more listed here), I see that there are 31 total users that have been found at this location in my old software, there are 27 of the left that I still need to finish going through, 1 of them is in a Draft status so that I can come back to it later, and there are 3 that I have already completed.
Enlist a Team Member
We'll talk more about what you need to validate your user data, but first, if you’d like to enlist some help from another team member, click on the Users tab on this left side panel. Here, we see my teammates that have already been given access to Champion, and I see that they’ve already activated their login so that they can help me complete my User List much quicker. This is especially useful since we can split this up by location so that each of us will be working on the users at our specific location.
- If you’d like to create a login for another team member that can help you, click Add User at the top-right of the screen. Enter their information, then hit "Add User" again, and they, too, will receive an email from Champion confirming the creation of their user login.
- Please Note: The users that are entered here is solely for the benefit of helping you complete your User List. The information entered here will not be converted into your production environment with the rest of your converted data.
Completing Your User List
Back in your main Workspace, you can filter your user list by selecting your location at the top, and you can choose to exclude any users that have been marked as Inactive in your legacy software or any users that have already been verified and completed.
- Click an individual user to complete their information, or click Quick Fill to complete them one after another.
- Verify or enter the user's information as necessary, enter their email address, or click "Do not wish to provide" -- this is mostly useful for providers that have left the practice and you no longer have or need that information.
- Or, you can mark this user as Inactive if needed. Any users marked as Inactive will not be converted into your production environment.
- If this user should remain Active, you'll need to select their default location, then you can map the user's data to the data fields in CareStack.
- For instance, if your provider is a dentist in the ortho specialty, you'll select those items. If this user does not need to get converted as a provider, you can select non-provider and the remaining fields will become inactive.
- Otherwise, you can edit their short name, which is the shortened version of their name that appears throughout CareStack's modules and tools for brevity and efficiency, and you'll enter the provider's tax and license information as needed.
- If you don't have this information available to you right now, you can hit Draft and come back to this person later.
- Or, if you're done validating and mapping your user's data, click Save (or Save and Next if you are doing "Quick Fill").
- When you have finished with all of the users on your list, click Complete at the top-right of the screen, select the Default Provider of your practice, then click "Complete" again to submit all of your completed data.
- Our conversion team will receive a notification, and we'll be able to move on to the next steps of the conversion: uploading the data into your Sandbox testing environment.
As for your user list, that’s it! That’s all there is to it.
