Navigating to Patient Overview
- Search for the patient using the Global Search Bar.
- Click Overview.
- You will be directed to the Patient Overview.
Patient Profile Navigation Bar
Located on the left side of the patient's profile is the navigation bar listing the links that will take you through the records of the patient.
- Menu: Clicking this icon will open the patient menu containing links for the most commonly utilized actions.
- Overview: Clicking this icon will take you back to the Patient's Overview page.
- Med. Alert: Click the icon to view allergies, conditions, and current medications tagged to the patient (via the answers provided on their medical history form).
- Clinical: Hover over the icon to access a sub-menu of sections related to the patient's clinical care. This includes Chart, Treatment Planner, Perio Chart, Treatment History, Referrals, and Implant Tracker.
- Cases: Click the icon to view and manage all clinical cases of the patient.
- Billing: Hover over the icon to access a sub-menu of items related to the patient's financial status. This includes Ledger, Completed Procedures, Payments, Ortho Cases, Pre-Authorizations, Claims, Migrated Transactions, System Transactions, Statements, and Membership Plans.
- Ins.: Clicking this icon will take you to the patient's insurance page where you can view, add, verify, terminate, and assign hierarchy to the Insurance Plans tagged to the account, as well as perform an eligibility check when required.
- Appts.: Hover over the icon to access a sub-menu of sections related to the patient's previous or upcoming visits. This section includes Appointments, Lab Cases, and Recalls.
- Pat. Alerts: Clicking this icon will open the Alerts module where you can view, add, edit, and delete any pop-up alerts for the patient.
- Memo: Clicking this icon will take you to the Notes section of the patient's profile where you can view existing patient notes (general notes, notes regarding communication, notes regarding appointments, etc.), add comments to the notes, or create a new note.
- Docs.: Clicking this icon will open the Patient Documents module where you can view and upload any necessary documents regarding the patient.
- Med. Hx.: Clicking this icon will take you to the Medical History Form page where you can view any previously provided medical history answers or start a new Med. Hx form.
Action Quick Links
At the top of the Patient Overview page, you can see some quick links that allow you to add items such as a new patient, a new form, etc. They are listed below.
- + Patient: Click the link to create a profile for a new patient.
- + Alert: Click the link to create a pop-up alert for the patient (and set the pages in which the alert should appear).
- + Form: Click the link to start a new form for the patient.
- + Presc.: Click the link to open the patient's Prescription module where you can view their current medications, prescription history, and create a new prescription (this module also lists the patient's allergies and conditions).
- + Memo: Click the link to quickly add a new patient note. You can also include any attachments with the notes, if needed.
- + Lab: Click the link to create a new lab case for the patient.
- + Recall: Click the link to create a new recall code to be scheduled for the patient.
- + Message: Click the link to quickly send an email or text message to your patient. To add attachments to an email, drag and drop the intended file(s) or click Browse Files. Accepted file types are .doc, .pdf, .jpeg, .jpg, and png with a maximum acceptable file size of up to 20 MB.
- Print: Click the link to open the Print module, which allows you to select the types of records and information you would like to print regarding the patient.
Navigation Quick Links
The Patient Overview page also provides quick links to important areas of the PMS, allowing you to view the patient’s information in those sections.
- Find Slot: Click the quick link to open the Scheduler slot finder and schedule an upcoming appointment for the patient.
- Appointments: Click the quick link to be taken to the Appointments page and view appointments for all account members.
- Add to Clipboard: Click the quick link to add a preset appointment to the Clipboard.
- Chart: As the name states, the link will take you to the patient's dental chart.
- Perio Chart: As the name states, the link will take you to the patient's perio chart.
- Tx Plan: Click the link to be taken to the patient's advanced treatment planner.
- Mark for Short Call: Click the link to add the selected patient for a short call.
- Payments: Clicking this link will open the patient's Payments module where you can add, allocate, or view the patient's payments or payment plans.
- Claims: Clicking this link will take you to the patient's Claims page where you can view, generate, edit, and submit insurance claims related to the patient's treatment.
- Ledger: This link will take you to the patient's ledger, as well as the ledger for the entire account.
- Memo: Click the link to open the patient’s Notes module (Note: These are general patient notes, not clinical notes)
- Check Patient Portal Status: Click the link to check the patient portal status.
- Send Patient Portal Link: Click the link to send the patient portal link to the patient.
Patient Details
On the Patient's Overview page, you will find the following patient details:
- Patient Name, Photo, Date of Birth, Age, Gender, Patient ID, Chart Number, SSN #, Driver's License #
- Patient Flags
- Default Location / Dentist / Hygienist / Fee Schedule
- Preferred Language
- Preferred Provider Gender
- Patient Referral Source
- Patient Contact Information
- Patient Emergency Contact
- Insurance Information

| Note: The insurance information section covers the primary and secondary insurance details of the patient such as Carrier Name, Plan Name, Plan Type, Activation Period and Eligibility Status with Date. Click any of the listed insurance plans to view more information. |
Tip: You can update the patient’s communication medium from the Patient Overview if it was not added earlier. Click Add for Mobile or Email. On the Appearing modal, you can also set to receive Email Notifications/Reminders and Marketing Emails. |
Action(s) Required
This section alerts you to any areas that need your attention, such as in the following instances:
- Documents Pending: Click the link to view any pending documents that need to be finalized.
- Medical History Pending: Click the link to be taken to the Medical History page and start a new form.
- Insurance - Eligibility Pending: Click the link to be taken to the patient's insurance page and complete the eligibility check.
- Recall Unscheduled: Click the link to open the scheduler (with the relevant Provider and Location selected) to schedule the patient's pending recall.
- No Next Appointment: Click the link to open the scheduler and schedule an upcoming appointment.
- HIPAA Form Last Completed: This note will show you the last date the patient completed the HIPAA Consent Form, along with the amount of time elapsed if the form is overdue.
Medical Alerts
This section displays the Conditions, Allergies, and Current Medications of the patient.
Membership Plans
This section displays all of the patient's membership plans.
Account Summary
The Account Summary provides account-related information as shown below.
- The name of the Account Member.
- Their relationship to the Responsible Party of the account.
- The account member's Age and Date of Birth.
- The date of their Last Appointment.
- The date of the Next Appointment.
- Any unscheduled Recalls.
- Unapplied Credits of the patient.
- Any Outstanding Balances that are owed by the patient and expected from their insurance carrier.
Tip: If the patient does not have a scheduled follow-up appointment, click No next appt. to open the scheduler and book the next available appointment. |
